Senior Knowledge Management And Communication Officer (SKMCO) – Nzmates 2.0 (Code: 072-SKMCO NZMATES)

General Position Summary 

The NZMATES Senior Knowledge Management and Communication Officer (SKMCO) is responsible for developing and implementing strategies to capture, manage, analyze, and disseminate program knowledge across the organization and to external stakeholders. This role ensures that information is accessible, accurate, and effectively used to inform decision-making and showcase impact. 

The SDKMCO will also manage the NZMATES digital presence, including the website and other social media, including monitoring its engagement metrics. Develop and update communication strategy, promote and encourage knowledge sharing and externally.  Support MELR Specialist in maintaining robust data, project pipeline, data governance. 

Essential Job Responsibilities 

STRATEGY AND PLANNING

  • Support on measurement and analysis of communication tools to inform strategic decision making.

  • Manage and administer NZMATES communication activities with MELR Specialist and Sr. Programme Manager

KNOWLEDGE MANAGEMENT AND SHARING:

  • Design, implement, and maintain robust data and knowledge management systems, repositories, and databases (e.g., SharePoint, online libraries).

  • Develop and enforce data governance, privacy policies (e.g., data protection), and compliance frameworks to ensure the integrity, security, and ethical handling of information.

  • Assist the MERL Specialist in the development and implementation of the organization's knowledge management strategy.

  • Design, deliver, and manage a Knowledge Management (KM) strategy and approach for the NZMATES Programme together with the MERL specialist

  • Work collaboratively with project teams to coordinate development of project dissemination plans

  • Assist in the documentation of project activities and most significant change stories, with the potential to develop these into formal success stories for broader sharing

  • Support development, documentation, and dissemination of knowledge management products and ensure they are appropriately and effectively represented in public events

  • Support the MELR Specialist to provide a framework for the end of project results reporting for all project activities

  • Promote and facilitate a culture of knowledge sharing and collaboration among teams, including providing training and support on KM tools and practices.

  • Identify, document, and package key knowledge products, such as case studies, success stories, lessons learned, and best practices, for internal and external use.

COMMUNICATION AND OUTREACH:

  • Develop and implement strategic communication plans for various target audiences, including donors, partners, and the public.

  • Produce and edit high-quality communication materials, including reports, policy briefs, newsletters, press releases, website content, and social media posts.

  • Manage and update the organization's digital presence, including the website and social media channels, and monitor engagement metrics.

  • Coordinate and manage events, workshops, and media relations to ensure maximum visibility and effective stakeholder engagement. 

  • Support media outreach and stakeholder engagement through coordination of events, workshops, and field visits

  • When required, lead, organize, document and support the team to manage media at public events with local media that is in sensitive to Maluku context.

  • Assist in documenting and packaging technical outputs, lessons learned, and innovations for donor reports and stakeholder presentations

  • Ensure all communication materials comply with NZ and YMCI branding and visibility guidelines.

  • Develop and maintain excellent relationships with internal and external colleagues and among the project’s local partners.

  • Provide translation and interpretation for international stakeholders during site visits.

  • Translate NZMATES documents from English-Bahasa Indonesia and vice-versa.

  • Other duties as required in support of NZMATES programme objectives.

  • Encourages openness and communication in their team; encourages team members to submit reports if they have any concerns using reporting mechanisms e.g., Integrity Hotline and other options.

Knowledge and Experience 

  • University degree or work experience equivalent in Communications, Information Technology, Social Sciences, or a related field is preferred.

  • At least 5-7 years of relevant professional experience in knowledge management, data management, and/or communications, ideally within a relevant sector (e.g., international development, public sector).

  • Proficiency with common office productivity software, including Word, Excel.

  • Demonstrated experience with digital information management platforms, data visualization tools (e.g., Power BI), and common software packages (Microsoft Office, Adobe Creative Suite is a plus).

  • Proven experience in developing and implementing communication and knowledge management strategies.

  • Excellent written and verbal communication, editing, and presentation skills.

  • Strong analytical and problem-solving abilities, with a capacity to translate technical information for non-technical audiences.

  • Ability to work effectively in a team, manage multiple priorities, and meet deadlines in a complex environment.

  • Strong leadership and coordination skills, with the ability to build relationships with a wide range of stakeholders

  • Experience working with humanitarian or development organization (NGO or other), especially in a renewable energy project is a plus.

  • English language and translation skills.

  • Ability to take initiative, to anticipate and solve problems; meet deadlines, work under pressure, work independently on multiple tasks with limited supervision, work cooperatively with team members and partners.

  • Ability to be flexible, open-minded, and creative.

  • Willingness to spend a large amount of time in remote field locations.
