Human Resources Assistant - MCI

Department Summary 

The Human Resources Department exists to support the activity of Mercy Corps Indonesia to achieve its objectives in Indonesia in line with the organization's mission and vision. The goal of this department is to ensure all daily activities related to Mercy Corps Indonesia program run smoothly in accordance with the organization's rules and regulations. The function of the Human Resource Department is to serve the country's program to ensure that nationwide identical policies, strategies, and procedures are being implemented.

General Position Summary 

This position is responsible for supporting the HR Department to process and properly document all daily human resources activities efficiently and on time. The HR Assistant will help to administer all HR Functions. *This position will be fixed term for 6 (six) months.

Essential Job Responsibilities

  • Responsible for ensuring and maintaining a high-level quality Job File filing system (both soft copy and hard copy) for each position in Mercy Corps Indonesia.

  • Responsible for ensuring and maintaining a high-level quality Personnel File filing system (both soft copy and hard copy) for each team member in Mercy Corps Indonesia.

  • Responsible for maintaining and updating team members' personal files that refer to the Human Capital Management (HCM) system.

  • Assist in processing employee timesheets into a routine, monthly payroll – in cooperation with the Finance Team including tracking annual leave days and comp time.

  • Responsible for preparing New Hire Kit (Agreements, ID Card, Insurance Card, etc.) for New Hire Team Members.

  • Arrange administrative matters related to HR Policies.

  • Arrange interview schedules. 

Knowledge and Experience

  • Diploma degree, preferably in management, business administration, or equivalent in a relevant field.

  • S/he should have a good communication skill

  • Proficiency in Microsoft Word, Excel, Outlook, Teams, and other computer programs is a must.

  • Excellent Administration and representation skills. 

  • Understandable English verbal and written communication skills.

  • At least 1 year of experience in an international NGO or an international firm would be an advantage. 

  • Able to work independently and cooperatively with other team members in Jakarta, field offices, and headquarters. 

  • Effective time management and organization skills including priority setting and responding to organization needs.
