Operations Coordinator (Code: 029-OC-IUWASH)

General Position Summary 

The Operation Coordinator (OC) position will be based in Jakarta and work closely with the Mercy Corps Indonesia (MCI) Compliance, Finance, Procurement, and Operation Teams. The OC will be responsible for all aspects of USAID IUWASH Pasar Operations, including procurement and VAT exemption.

Essential Job Responsibilities

Operation processes

  • Support the program team in all aspects of project operations, such as office equipment, vehicles, and travel.

  • Support the program team in the processing of procurement needs, such as purchase request, review contract, direct purchases and financial completion reports for all IUWASH Pasar events and activities, according to Mercy Corps Indonesia (MCI) Procurement guidelines.

  • Work closely with YMCI Finance Department on the planning and processing of VAT Exemption requests for IUWASH Pasar as stipulated in the USAID Missions circular on the purchase of goods, services and works. 

  • Assist Finance and Administration Manager (FAM), coordinate with YMCI Finance and Compliance, and work collaboratively with other team members in the collection, sorting and inputting of IUWASH past and planned activity costs required by USAID and for generating GOI BAST reporting.

  • Maintain the NXP list and conduct regular check-ins on USAID-funded assets.

Knowledge and Experience

  • Mid-level position with 5 years of experience is required. Operations experience is a must.

  • The candidate must have good communication skill, document/ report writing, adequate understanding and skills of English speaking and writing, as well as Bahasa Indonesia and finance background.

  • S/he should have pleasant personality, organized, efficient, proactive, flexible and able to work under pressure and with short deadlines when required. Proficiency in Microsoft Word, Excel and other computer programs is a must.

  • Demonstrated attention to detail, meet deadlines, take initiative, anticipate, and solve problems.

  • Effective time management and organization skills including priority setting and responding to program needs.

  • Effective interpersonal communication skills including problem-solving skills, being proactive and taking initiative.
